The Step 1 Create New Recipient button allows you to import recipients or create a new recipient.
The Recipients tab allows you to import, create, and manage your recipients and lists.

Creating a New Recipient

To create a new recipient, click the Step 1 Create New Recipient button on the home page.  You will be prompted to Create a New Recipient or Import a List of Recipients. Select Create a New Recipient, enter the recipient’s information, and click Save.

You may also create a new recipient under the Recipients tab.  Click the Recipients tab and then click the New Recipient button, enter the recipient’s information, and click Save.

help-note Note: The recipient’s last name and phone number are required fields. The other fields are optional. The phone number must include all 10-digits (area code and phone number). Phone extensions are not supported at this time. You may enter phone numbers with or without dashes, hyphens, or parentheses.

Editing a Recipient

To edit an existing recipient, click the Recipients tab.  You will be taken to the All Recipients page where you may browse (page by page) or search for the recipient you want to edit.  Once you have located the recipient, click on the name of the recipient.

From the recipient’s Contact Information page, you may do the following:

  1. Click the Edit button to update the recipient’s name, phone number, and other contact information.
  2. Click the Delete button to completely remove this recipient from your account.This action can’t be undone.
  3. Click the Recipient Lists button to add or remove this recipient from an existing list.
  4. Click the Calls button to view all calls sent to this recipient.
  5. Click the Back button to return to the previous screen.

Searching for a Recipient

Use the Search option to quickly search through all of your recipients.

  1. Click the Recipients tab. This will take you to the All Recipients page.
  2. Enter the recipient’s last name or phone number (with or without dashes) in the Search box and click Go.
help-note Note: To return to your complete list of recipients, clear out the Search box and click Go.

You may also Sort your recipients. To do this, click the column heading you want to sort.

Creating a List of Recipients

To group recipients into a list, click the Recipients tab and then click the All Lists sub-tab.  From this page,

  1. Click the New List button to create a new list.
  2. In the Name field, specify the name of the new list.
    For example, “Vineland Charity Auction” or “Vikings Baseball Boosters”.
    You may also add a more detailed description in the Description box.  Click Save when you are finished.
  3. After naming your list, you will be taken to the Recipient List page. On this page, you may create a new recipient or add an existing recipient to the list.
    • To create a new recipient to the list, click the New Recipient button.
      Enter the recipient’s information and click Save.
    • To add an existing recipient to the list, click the Add Recipient(s) button.
      After clicking this button, you are taken to a list of all of your current recipients.  Click the checkbox
      of every person you want to add to the list and then click the Add Selected button.  If you would like
      to select the entire page of recipients, click the Add Current Page button.
    • help-note Note: You may only add one page of recipients at a time.

Editing a Recipient List

To edit a list of recipients, click the Recipients tab and then click the All Lists sub-tab.  You will be taken to the Recipient List page which shows all of your current lists.

Click on the name of the list you want to edit.

You may now perform the following functions:

  1. Click the Edit button to change the name or description of the list.
  2. Click the Delete button to delete the entire list. This action can’t be undone.
    help-note Note: When you delete a list you are only deleting the reference of the list. The recipients will remain in your account under the All Recipients sub-tab.
  3. Click the Copy button to make a copy of the list and recipients within the list.
  4. Click the Export Recipients button to export all recipients from the list.  The recipient data will export into a .csv file which you can save to your computer.
  5. Click the Back button to return to the previous page.

You may also update the recipients in the list by performing the following functions:

  1. Click the New Recipient button to create a new recipient to the list.
  2. Click the Add Recipient(s) button to add existing recipients to the list.
  3. Click the Remove Selected button to remove select recipients from the list.
    You will need to select the checkbox next to the recipient names before you click the button.
  4. Click the Remove All button to completely remove all recipients from the list.
  5. The Remove Selected and Remove All actions can’t be undone.

help-note Note: If you want to update a recipient’s contact information, you will need to perform this under the All Recipients sub-tab. See Editing a Recipient.

Importing a List of Recipients

If you need to add more than a few recipients, the Import Recipients feature is very useful.  Use Microsoft Excel, or a similar application, to organize your list of recipients.  You will need to save your file as a Comma Separated Value (.csv), a Tab (.tab), or an Excel (.xls) file.

help-note Note: The 2007 Excel (.xlsx) version is not supported at this time. Excel files with multiple worksheets will only import the first worksheet. Excel files with macros may cause the import to take longer or not import at all. We recommend converting Excel files to CSV files in this case.

Follow these steps to import a list of recipients:

  1. Click the Recipients tab at the top of the screen.  The Import Recipients button is located under the tabs.  This button is also found on the All Lists sub-tab.
  2. Click the Import Recipients button.
  3. Select either Import into an existing list or Create a new list for import.If you select Import into an existing list, a drop down menu of your existing lists will appear.
    Select the appropriate list and click Next.If you select Create a new list for import, a blank field will appear.  Enter the list name you want to create and click Next.Import-options
  4. After reading the Opt-in Agreement disclosure, check the box “I agree” and then click Next.agreement
  5. The Recipient Import Wizard page will appear with the following options:File to import: Click the Browse button to retrieve your file for upload (in .csv, .tab, or .xls format).Email results to: Enter the email address where you want to receive your import status email.Leave the checkbox selected to prevent any duplicate entries from being added to a list. Click the Next button to proceed.emailwizard
  6. The next Recipient Import Wizard screen will require you to Define your columns.
    To define your columns, select the drop down menu above each column and choose the appropriate column heading.  Leave the column heading “–blank—“, if you don’t want to import a column. Click the Next button when you are ready to proceed.DefineColumns

    help-note Note: You must at least specify a Last Name column and a Phone Number to Call column
  7. The next Recipient Import Wizard screen will ask you to Confirm you import details. Review the Example Input Fields section.  If the example is correct, click the Import button.
    If not, click the Back button to make any necessary changes.Example7
  8. After you have clicked the Import button, a notice will appear on your screen indicating that the file has been successfully uploaded.  You will receive an email status for your import.  If there are any errors, an error report will be attached.
    help-note Note: You may only import or delete one list at a time.

    To view your import status, click the All Lists sub-tab and locate the name of the list.  If the column, Importing?, indicates “yes” than your import is still in-progress.  If it indicates “no” than your import has completed.  Updates to this column are not automatic.  You will need to refresh your screen
